Laundro Portal Access Users Accounts
The Laundro Portal is a web-based application that's used to manage your Laundroworks card system.
It provides extensive real-time reporting, and can be used for troubleshooting and configuring the many parameters of the card system, including machine vend prices, managing store promotions, and auditing customer/employee card usage.
The Laundro Portal can be accessed by any mobile/tablet web browser, but works best with laptop/desktop web browsers.
Users who have Admin Access to the Laundro Portal are able to create additional accounts, change existing account passwords, and delete existing accounts at any time.
When creating new accounts, you can select from different pre-defined access levels and/or restrict specific accounts to only having access to specific locations (if you owner/operate multiple locations).
To access the users section of the Laundro Portal,
click on Users on the left hand side of the Laundro Portal as shown below:

How to Create new Laundro Portal User Access Accounts:
Only Administrative (
Admin) Access users can create additional user accounts for the Laundro Portal:

To start, click on the blue + Add New User button in the top right corner of the Users section.
When creating a new account, the only mandatory fields are:
- Login (username)
- Access (a specific access level must be selected)
- Password and Confirm Password (this sets the initial password for the new account)

All other fields are optional, and are indicated as such,
however, in order to sign up for automatic system error notifications,
either an email address or phone number must be entered, and the user account must be set to Admin Access
Once all fields are populated, clicking the Save button will create the new Laundro Portal user account
Note: If you receive an error when attempting the create the new account, first check to ensure you've filled out all mandatory fields.
If all mandatory fields are filled out correctly, it's likely you've selected a Login (username) that's already being used by another Laundro Portal Access Account.
Login (usernames) must be unique across the entire Laundroworks customer base
Once a Laundro Portal account has been created, you are NOT able to edit the Login (username) of that account (all other fields can be edited after initial account creation).
If you'd like to change the Login (username) of a specific account, it is recommended to simply create a new account with your desired login name, then once the new account has been created, you can log in using the new account, and delete the old one that is no longer needed.
To Delete an Existing Laundro Portal Access Account:
From the
Users section, simply click on the X icon

next to the specific user login account you want to delete.
This will immediately delete that access account from the system.
How to Change the Password of a Laundro Portal Account:
Click the pencil icon

for the specific user login account
Enter the exact same thing, into both the Password and Confirm Password fields
Then click the Save at the bottom of the page to update the accounts password:
If you receive an error, it's likely different characters were entered into the password field, vs the confirm password field.
If the password is updated successfully, you will see the a confirmation message at the top of the screen:
Note: A Laundro Portal account with Admin Access is able to update the password for any existing Laundro Portal access account.
So if someone forgets their Access Account password, any Admin user will be able to change the password of that account, so the person can get logged back in immediately.
If an Admin users forgets their password, and there are no other Admin users that have access to the Laundro Portal,
contact the Laundroworks
support team to have the Admin password reset.
Configuring Email/Text Error Notification
You can setup an Admin Laundro Portal access account so that you receive email/text alerts if the system detects specific system errors.
To setup these alerts, or change your notification preferences, navigate to Notification Settings on the left side of the Laundro Portal:
From here, you can see what type of system errors will trigger a notification to be sent out,
and you can select which types of errors you want to be notified about, as well as the notification method you prefer (email and/or text):
You can click on the "Details" arrow, to see the full list of errors that trigger a notification, for each specific error type group.
Note: Only 1 email address and/or 1 phone number can be provided per Laundro Portal Access Account.
Only accounts with the Admin Access level have the ability to receive notification emails from our system.
If you'd like additional people to receive the same notifications, you'll need to create a separate Admin account for that person.
If you only want other people to receive notifications, but not have access to the Portal, simply create them an Admin account, but do not provide them with the login details for that account.
In order to setup the notifications per each Admin Access Account, you'll need to login using that specific account.
Admin users can only setup notifications for their own Admin account.
Note: The notification system waits for a specific error to be persistent for a predetermined amount of time (times are error specific).
The Laundro Portal will always display an errors as it happens, but the notification system will wait for the error to persist to prevent false positive notifications from being sent out.
For example, if you change the printer paper, the Laundro Portal will immediately display a "Printer out of paper" error in the VAC status, however the notification system will wait for that error to persist before a notification alert is sent out.
Different errors have different thresholds; a "Printer our of paper" error needs to persist for much longer than a "VAC Offline" error, before an error notification is triggered.
User Access Permissions
As an Admin Access user, you can create additional user access accounts for the Laundro Portal.
Each user account can have varying Access Levels, which control what the user can/see and do. You can also specify the laundry locations to which that user has access.

| Has FULL access to the entire Laundroworks system and can see and do everything the Laundro Portal has to offer.

| Has similar access to an ADMIN but without the ability to change any system parameters (like machine pricing, or VAC configuration settings). Note that it does have the ability to add value to laundry cards

Viewer
| Can only see data. No ability to add value or change parameters.

Viewer MCU
| Can only see data related from the readers on laundry machines (Cycle revenue and cycles). No data from the Value Add Center kiosk is shown.

Viewer Date Limited
| Can only see recent data for past couple days, restricted from viewing historical data.
|
Attendant
| No ability to change system parameters. Can add value to cards and access the Point of Sale Page. This is intended for laundromat attendants/staff

Card Tracker only
| A limited version of the Attendant access level. Can only access the Card Tracker to see usage history.

Technician
| Can only see equipment statuses. No transaction reports. Cannot change any system parameters
