Setting Up Promo Code Campaign

Overview

A Promo Code campaign allows you to setup a promo code keyword, which allows customers to receive a bonus when redeemed.
For example, you can setup a keyword FREEWASH5 with a $5 bonus value attached to it.
When customer enters this keyword when buying a new laundry card at the VAC (or applying the promo to an existing Laundry Cat/LaundryCat App account), a $5 bonus value is added the Laundry Card/LaundryCat app account's balance.

Note: This feature is only available on VACs equipped with a 2nd Generation "VAC4" control board (this will be a black coloured VAC control board)
1st Generation "VAC3" control boards (green/blue in colour) do not have this functionality:

Configuring a Promo Code Campaign

1. Click Marketing on the left menu (black bar section) of the LaundroPortal

2. Add a Campaign
Click the "+Add Promotional Campaign" button to start a new Promo Code Campaign


3. Configure the Campaign.
When creating a new Promo Code Campaign, you'll be able to configure how much value a specific Promo Code will give out when redeemed, as well as which type of customers are eligible to redeem this specific promo code.

Selecting a Promo Code Type

The Global Code campaign type allows the same promo code to be redeemed by more than one customer.
This is typically used in a campaign where you are advertising the promo code publicly, like on your website, on Facebook, or even in print.
The system will force the customer to register his/her phone at the time of redemption, as a measure to prevent multiple redemptions by the same customer for this specific promo code.
The system will not allow redemption of a promo code if the registered phone number has already been used to redeem this specific promo code already. 

The Unique Codes campaign type allows you to generate, or enter, a list of one-time use codes.
This is useful if you're targeting a specific potential customer.
With this campaign type, the only restriction is the specific unique code being used; so if one customer receives multiple unique codes, from the same campaign, they WILL be able to redeem the multiple codes, even if they've already redeemed a unique code from this specific campaign before.


Active Promo Code:
This field is the actual Promo Code(s) that customer's will enter in order to redeem this promo code campaign.

When using the Global Code type,
all customers will be entering the same promo code to redeem this promo code campaign.
Once a promo code campaign is created, the Active Promo Code cannot be changed (all other fields are editable after the promo code has been initially created).

When using the Unique Codes type,
you will be entering (or generating) multiple unique promo codes that customers will enter in order to redeem this promo code campaign.
Unique Codes can be edited after the fact, assuming the specific unique code you want to edit has NOT already been redeemed.

Promo Value: is the value amount you will be adding to a customer's accounts, when this promo code is redeemed successfully.

Redemption Expiry: this is optional
If the check box beside "Redemption Expiry" is checked, you can set an expiration date for this promo code.
This promo code will then expire automatically on this date, and no longer be active from this date onwards. You are able to change the expire date, or remove the expiry all together, after the expiration date has occurred.


Description: You can enter an internal description in order to keep track of the purpose of this specific promotional campaign.
This description will ONLY be visible by you, via the main Marketing page (this is NOT seen by your customers).

Advertisement: this text field IS what the customer will see during the promo code redemption process.

Redemption Requirement Settings



These are the settings that control what registration information is required, and what account types/states are required, in order for a customer to successfully redeem a promo code from this Promo Code Campaign.

Registration Requirements:

We always require a phone number to be registered, because that is how we limit a customer from redeeming a promo code more than once (when using a Global Code),
but you can decide if you also want to require your customers to register with a valid email address, and/or a full name (as opposed to allowing customer to enter just their first, or last, name).

The "New registrations only" option is used if you want to restriction this Promo code Campaign to only work for customers who have never registered their information to your store.
If this option is selected, and a customer has registered their information to a Laundry Card, or LaundryCat app account will NOT be able to redeem this promo code (even if they've never redeemed a code from this specific campaign before)

Account Applicability:

This sections allows you to set restrictions on the types of accounts this promo code will work for. With all check boxes selected, all customers will be able to redeem this promo code.
To set restrictions, you'll want to uncheck the box beside the account types you do NOT want this promo code to work for:

New cards - when selected, this promo code will work for new card purchases
Notes
Note: to redeem a promo code during a new card purchase,
NOT the normal "Touch Here To Get New Card" screen

Existing cards - when selected, this promo code will work for an existing laundry cards

New mobile - when selected, this promo code will work for new mobile accounts
(a mobile Account is considered "new" up until they complete 10 transactions)

Existing mobile - when selected, this promo code will work for an existing mobile accounts


Auxiliary Settings:

Promo codes can be setup to work when reloading existing cards, or when buying new cards.
If a customer redeems a promo code to purchase a new card, you can decide if you want to waive the cost of the new card, by click the check box beside "Waive cost of new cards".
If you've configured the promo code to add value, and you select that the promo code should waive the cost of the new card;
when redeemed during a new card purchase, the customer will both receive the value of the promo code AND will have the new card fee waived.

NOT the normal "Touch Here To Get New Card" screen

Selected Locations for Campaign

If your Support ID is associated with multiple locations, you can decide which specific location(s) this Promo Code Campaign will be active in.

If you want this specific Promo Code Campaign to be active in all of your store locations,
simply select the "Select all locations" option:

To make this specific campaign available in only select store locations, select the Select locations from list option,
then click the "+" icon beside the specific "location ID - location address" from the list of all your locations, and this will make the campaign available only to the locations you've selected:


Any location that is listed under "Selected Locations for Campaign" will have this promo code active in that location(s):

And at any time, you can remove a location from this specific promotional campaign,
by clicking the "x" icon next to that location under the "Selected Locations for Campaign" list.

Enabling the Promo Code button on the VAC

Presently, there's an extra manual step to enable the visibility of the Promo Code button on the VAC screen.



Go into the VAC settings page by clicking the wrench icon on the Location Info page.


Then click Edit VAC Settings button.
Scroll down to the Bonus section, and set the Promo Code Display to your preferred option ("Full" is the recommend option).

We may need to update the software on your VAC kiosk. 
Full: 
this option enables the Promo Code button to appear on the VAC's Home/Idle screen, the New Card screen, and the Management screen.
Essentially, this will allow customers to be able to redeem promo codes without the help of an employee of the location.
We suggest using the Full option in most cases (even if you're targeting only new customers it's best to use full, as a new customer might initially not see the Promo Code button, buy a new card, and seek to redeem the promo code afterwards)



You will need to set this same setting on all of your VAC kiosks individually so they all display the promo code button on the same screens.

New cards and management:
This option will enable the Promo Code button to only appear on the new card purchasing screen, and the Management login screen only

Management only:
This option enables the Promo Code button to only appear on the Management login screen.
This option is used when you do not want to allow customers to enter their own promo codes, as only an employee with a management card can start the redemption process for a customer.

Enabling the Promo Code entry section for LaundryCat app users

If your store also makes use of the LaundryCat app, and you have a promo code that App users can redeem;
you'll need to make sure that your LaundryCat app users have the ability to enter promo codes within the app itself.

They would do this through the Promotions section of the App:
 


To enable this section, if it's not already showing for your customers;
you'll need to navigate to the Mobile App Configuration menu, under the Management Tools section, on the main Laundro Portal page:

Note: if your NOT currently seeing the Mobile App Configuration menu on your Portal;
please contact our support team so we can enable this menu for you.

In the Mobile App Configuration menu,
scroll to LaundryCat App Options section,
and make sure that the Promotions Screen is enabled by clicking the checkbox for it:


Then scroll to the bottom of the Mobile App Configuration menu, until you see the Promotions Configurations section;
and make sure the "Show Promo Codes" option is enabled by clicking the check box for it:


Then click the Save button to save the changes,
and then check the LaundryCat App to make sure it's now displaying the Promo Codes entry field, within the Promotions section of the App.

How Customer's Redeem a Promo code

The following promo code will be redeemed in the examples below:

For customer's using physical Laundry Card

To redeem a Promo Code, when using a physical Laundry Card, customers will use the VAC kiosk directly
(this can only be done using a VAC equipped with a touch screen)

The process begins on the VAC Home/Idle Screen.
Selecting the "PROMO CODE" button will begin the promo code redemption process
(a Laundry Card does not need to be placed in the VAC's card holder at this point):

Note: if you have not set the Promo Code Display setting to "Full", in the VAC configuration settings menu,
the promo code button will NOT appear on the VAC's home/idle screen, and customers will therefore be unable to redeem a promo code on their own.

Once on the Promo Code screen, customers are prompted to enter a valid promo code:

If a valid promo code is entered, the following screen will display that specific campaigns' "Advertisement" text, and prompt the customer to select the type of redemption:
 - applying to an existing Laundry Card
 - or applying to a new Laundry Card that the VAC will dispense:

If the customer is redeeming a promo code against an existing Laundry Card,
the VAC will then prompt them to insert that card into the VAC's card holder:

Once the card is placed into the VAC's card holder, the VAC screen will display the card registration screen.
If the customer is redeeming a promo code for a new Laundry Card, the VAC will go directly to the card registration screen:

In this example, we're redeeming this promo code to an existing Laundry Card which already has registration information saved to it.
The registration screen will display whatever information is currently registered to this Laundry Card, so the user can confirm the saved information is still accurate, or make the necessary changes to update their registration information.
For new Laundry Card redemptions, or existing Laundry Cards that haven't been registered yet, this screen will populate with blank fields.

In order to successfully redeem any promo code, customers MUST always register a valid phone number.
The other registration fields are optional, unless you've configured certain registration fields to be mandatory, when creating this specific promo code campaign.

Once the required registration information has been entered and submitted,
this will trigger the system to send a text message, to the registered phone number, with a security code that must be entered in order to redeem the promo code:

Once the security code has submitted, the promo code will be redeemed, and the VAC will display the redemption information to the customer:


For customer's using the LaundryCat app

To redeem a Promo Code, when using the LaundryCat app, customers MUST use the LaundryCat app directly
(LaundryCat app promo code redemptions do NOT need to be done while physically at the location)

To being the redemption process;
navigate to the settings menu, from the LaundryCat App's home screen
then click on the Promotions option:

Note: if customers are unable to find the Promotions options in their LaundryCat app's settings menu,
it is because the Promotions section has not yet been enabled via the Mobile App Configuration menu

Customer's will find the Promo Codes redemption field towards the bottom of the Promotions menu;
once a valid promo code is entered, clicking the Apply button will trigger the system to send a text message with a verification code/PIN.

Enter this verification code/PIN into the text field, and click Apply button to submit it.
Once submitted, the promo code redemption will be complete,
the app will displaying the redemption status on the pop up window,
and clicking the OK button will dismiss the pop up window:


Reviewing Redeemed Promo Codes - Promo Code Report

Once a Promo Code has been redeemed, you'll be able to retrieve a report with information about each individual redemption, from that promo code's configuration menu directly.

Navigate to the Marketing section of the Laundro Portal, and click on the Wrench icon next to the Promo Code Campaign you're interested in reviewing:


In each campaign, you'll find a "Redeemed Promo Codes: #" that will be displayed just below the restriction settings.
This will summarize the amount of times this specific campaign has had a promo code redeemed:


If at least 1 promo code has been redeemed on this campaign,
clicking the arrow will expand this section to display a report of all promo codes that have been redeemed so far:


This report will include the following information:

Promo Code:
The specific Promo Code that was used during this redemption
(informative when using the Unique Code promo code type)

Account Number:
 The Laundry Card or LaundryCat app account that redeemed the promo code

Account Registration:
The registration information that was provided at the time the promo code was redeemed
Notes
Note: at any time, customer's are always able to edit/delete their registration information.
If a customer edits/deletes their registered information, after redeeming a promo code, you will always retain a copy of the registration information that was provided at the time of redemption, via the specific promo code campaign
 
Award:
Details the type of redemption (new/existing account) and the value that was redeemed

Redemption:
The specific location the redemption took place in, as well as the date/time the redemption happened
Notes
Note: for LaundryCat app customer redemptions,
if multiple locations are enabled for the specific promo code campaign, and your locations allow for cross usage of accounts between all locations;
the location listed on this report will default to the last location the customer's used their LaundryCat app in.

Usage Stats:
You can add a Usage Stats column to this report by clicking the Usage Stats button:

this will give you additional information about the specific account that redeemed the promo code:
