The Card Tracker

The Card Tracker

This article discusses the different functions of the Laundro Portal's Card Tracker

Searching For A Card:

Clicking on Card Tracker will bring you to the Card Tracker page where you are able to see information associated with a specific laundry card, or mobile account.
The Card Tracker can be used to track the activity of any User Laundry Card, User Mobile App Account, or any Management Card.

In order to look up a specific account, you need to know one of the following pieces of information:
 - the laundry card number/mobile account number
 - the phone number (IF the card was registered with a phone number)
 - the full email address (IF the card was registered with an email address)

Once the system pulls up an account, you will be brought to the Usage Report tab for that account.
Depending on the type of account you are looking up (User Account vs Management Account) there will be different Tabs available on the Card Tracker.

Card Tracker Section Tabs

User Account tab options:

Management Account tab options (Management Cards and Collection Cards):

Just above the Card Tracker's Tabs, you will see an account information section:

Last used location: this will display the last location this card was used in. If you only have 1 location, this will never change

Location Timezone: the time zone that your store is in

Card Number: the card number, or mobile account number for this account
Note: if the card number is: Banned Card, a Management Card, or a Collection Card
this will be noted underneath the card number

Balance: with user laundry cards, this figure represents the Last Known Balance of the user's laundry card and not necessarily it's actual current balance.

This is because the actual balances of user laundry cards are stored directly on the cards themselves; whereas what's shown in Card Tracker is based on the latest reported records of use by the laundry card.

If the Card-Readers and/or the VAC kiosk of your location is having communication issues, records of use by a laundry card will be unreported until the communication issues are resolved.

When looking up users who use a mobile account, the mobile account balances are stored in the cloud, so the balance figures you see here will always show the actual balance for all mobile account users.

Free Dry Balance: if your store is running a Free Dry Promotion, you will see this field, and a free dry balance figure displayed.
Just like with the regular Balance figure; for laundry card users, this free dry balance is considered to be the last known free dry balance.
For mobile account users, this free dry balance figure will always show the actual free dry balance.
Note: In some cases where the system deems the last known Balance as being inaccurate, an additional message about "Insufficient Information" will be displayed:

Common causes being
- All Readers being out of communication at a given location the card may be used at
- All VACs being out of communication at a given location the card may be used at
- Received Records of use occurring out of order with respect to changes in balance between records
- If the Card has not been in use for more than two years, in which case we have archived those past records

Usage Report Tab:

The usage report tab is where you will see all of the tracked activity for any user or management card/account.

Load Value Tab (User Accounts Only):

This tab is where you can go to add value to any user card/mobile account.
You can also view this tab to see any previous load value requests that were made for this account

Time Sheets Tab (Management Accounts Only):

This tab is where you can go to view clock-in/clock-out records for a specific Management account.

Ban Card Tab:

This tab is where you can go to ban, or unban an account (both User cards/accounts, and Management cards/accounts, can be banned and unbanned from this tab)
If an account is banned, you will also see a "Banned" note in the account information section just above the Card Tracker Tabs:

User Info Tab:

This tab will show you the information users entered while registering their card. You can edit any of the user's information from this tab as well.
You can also enter your employee's information, for any Management card you give to a specific employee, from this tab as well.
It is recommend that you enter your employee's information into this section so that if their Management card goes missing, you can easily find the card number by searching the employee's phone number or email address, and then ban that lost Management card.

Administrative Info Tab (User Accounts Only):

This tab is used to administer accounts that are to receive a specified discount off the displayed vend price of your machines.
This should not be confused with Management Cards, as they are not the same thing.
Administrated Cards are regular user cards that have been given a specified discount; while Management Cards are meant for employees of the location.

Messaging Tab:

This tab is useful for customers who have enabled our extended feature that sends a text message to customers when their wash/dry cycle is finished.
This section is not used to send promotional messages to customers.
This section can be used to troubleshoot issues where customers are not receiving a text message when their cycle completes.
In this tab, there is a "Send Test SMS" button, that can be used as a troubleshooting tool, if a specific customer isn't receiving text messages on their device.

The "Send VAC Display Message" section is used to leave a specific user a message that will be display once, the next time the specific user uses a VAC with a touch screen.
This feature can only be used in locations that have a VAC equipped with a touch screen.
